PROJECT COORDINATOR


A day in the life of our Project Coordinator

The mission of the Project Coordinator is to create seamless client experiences, while representing the culture that is ViRTUS. Your ninja-like execution of details ensures the absolute best learning experience. On a day-to-day you work with vendors, facilitators and our content team to link the pieces together, all while keeping internal tracking systems and spreadsheets up to date. If you can move mountains, while executing flawless experiences (and having a good time doing it) you are our person.


Client experiences

  • Work closely with the Director of Client Programs to ensure seamless client experiences
  • Manage ongoing logistics for every client experience including booking venues, ordering catering, gathering materials, and equipment with 99% accuracy
  • Send out session information and reminders to participants with 99% accuracy
  • Process incoming and prepare outgoing manifests, correspondence forms and liaise with Facilitators on an ongoing basis
  • Liaise between the client and Facilitator when coordinating client experiences
  • Coordinate invoicing spreadsheets and project expenses with Controller
  • Coordinate schedules to set meetings between team members and clients
  • Build and maintain strong relationships with clients
  • Keep client and member contact details updated (contact cards)

Content support

  • Proofread and edit participant materials
  • Comprehension of our core content and learning models
  • Understand our most delivered sessions thoroughly, including what pre-work, materials, room set-up and other details are required for each
  • Sit-in on client deliveries to provide feedback, and to observe content in action

ViRTUS team

  • Coordinate dates, agenda, logistics for team meetings, celebrations and events
  • Onboard new ViRTUS Facilitators
  • Virtual office management (vendor accounts)
  • Coordinate, maintain, and replenish Facilitator kits as required
  • Track and celebrate important milestones in team members’ lives
  • Manage and coordinate consistent blog updates

Social

  • Engage and post articles, pictures and updates on platforms: Facebook, Twitter and LinkedIn for ViRTUS
  • Create and align ViRTUS Instagram account
  • Be present at various business and community events

Qualifications

  • Company is virtual, so must have a specified in-home working space
  • Strong multi-tasking and organizational skills
  • Proven ability to work effectively both independently and in a team based environment
  • Effective communication skills including verbal, written and presentation skills
  • Comfortable, easy-going personality for client managing
  • Proficient in MS Word, Excel spreadsheets and formulas and PPT
  • Fantastic customer service ethic and high quality expectations
  • Able to problem-solve and think on your feet
  • Impeccable resourcefulness skills
  • High emotional intelligence
